Insurance Specialist/Administrative Assistant

We are seeking an organized & energetic individual with a positive attitude to join our admin team in Salinas, CA. The ideal candidate can work independently in a fast-paced environment and remain flexible and resourceful while maintaining a high level of professionalism.
The Insurance Specialist/Administrative Assistant is responsible for managing insurance coverage companywide. Including, general liability, auto, crime bonds and workers compensation. This position acts as the liaison between our broker and upper management, providing documentation for yearly renewals, and audits, and binding coverage, as needed. While also providing administrative support to upper management.
All duties must be performed in accordance with client and company policies and standard operating procedures, following all state and federal regulations.
Overview of Insurance Specialist Duties and Responsibilities
Insurance Contract Management
Act as a liaison to receive and disseminate insurance policy information to upper management
Provides documentation to broker for renewal quotes
Prepares documentation for yearly audits
Ensures company policies meet limits of current and prospective clients
Forwards client contracts to broker for review of coverage requirements
Submits requests for COI’s
Works closely with contracting to ensure insurance coverages and pricing align with quotes
Adds and removes clients, autos, and drivers from policies as needed
Reports and facilitates processing of all claims
Administrative Support
Provide administrative support to upper management
Including, but not limited to creating new processes, update current templates, preparing and editing correspondence, reports & presentations
Provide analyses and recommendation to management
Conserves executives time by reading, researching, and preparing cost analysis for company purchases
Data entry, filing, drafting correspondence, and other administrative tasks
Manages company software subscriptions
Arranges travel, schedules meetings and registers upper management for training/seminars
Other duties as assigned
Minimum Qualifications
3 years of administrative and insurance experience
Insurance background preferred
Advanced MS Office Suite applications, including Word, Excel, and PowerPoint
Knowledge of Google Suite
Experience with Constant Contact and Wix platforms a plus
Proficient in English grammar and professional writing
Typing speed of 50WPM
Knowledge of professional phone and email etiquette
Excellent time management and task prioritization skills
Strong work ethic
Demonstrated analytical and problem-solving skills
Effective communication skills, including speaking, writing and active listening
A dependable team player with business maturity, enthusiasm, and a positive attitude
Working knowledge of or the ability to learn relevant company operating systems, software, and programming
Keen attention to detail
Efficient troubleshooting abilities
Bilingual/biliterate is a plus
Education and Certification Requirements
Possession of a high school diploma or equivalent
Possession of a bachelor’s degree preferred

Work is generally performed in an office setting under minimal temperature variations, a generally hazard free, and moderate noise environment.
