Full Job Description
We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Excel and office equipment. If you have previous experience as a Secretary or administrative assistant and familiarity within Real Estate or Property Management, your experience is welcome for this position, but not required since we provide on the job training.

Responsibilities

Answer and direct phone calls
Organize and schedule appointments
Resolve problems, requests, and complaints from tenants
Write and distribute email, correspondence texts, letters, faxes and forms
Submit work orders to authorized vendors
Respond to emergency maintenance calls
Advertise vacant properties
Track office supplies
Maintain insurance and workers compensation for vendors
Coordinate and distribute property inspections and correspondence
Maintain property entry
Assist the property manager with additional tasks
Miscellaneous office work
Skills

Proven experience as an administrative assistant or office admin assistant
Knowledge of property management procedures is a plus
Working knowledge of office equipment, like printers and fax machines
Proficiency in MS Office (MS Excel and Word, in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multi-task
High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
Job Requirements

Valid California Driver’s License and clean DMV driving record
Helpful attitude and friendly demeanor
Some computer knowledge such as Microsoft Work, Excel and Outlook. Computer literate
Must be detail oriented, be able to multi-task, organized and with the ability to manage your time
Exhibit solid communication skills, with an ability to calmly resolve disputes and complaints
Must be a team player who gets along with everyone
