Job Specifications

At Bay View Academy the Office Assistant is responsible for a wide variety of secretarial and organizational work while receiving and assisting school employees, parents, students, and the public. This position reports to the Head of School.

Minimum Qualifications

A high school diploma or GED equivalency sufficient to assure the ability to read and write English and to perform mathematical calculations at the level required for successful job performance.
Must have ability to speak, read, and write in Spanish
Ability to possess a valid California driver’s license (as appropriate to the assignment)and ability to be insurable
Desirable Qualifications

Knowledge of current school software and a variety of electronic tools including internet, email, and voicemail
Knowledge of office methods, procedures and equipment including filing systems.
Knowledge of reception and telephone techniques.
Demonstrated ability to relate well to adults and children.
Experience working in charter schools and/or California public schools
Experience working within a diverse, multicultural community
A valid First Aid/CPR certificate may be required
Essential Duties and Responsibilities

Perform a wide variety of secretarial work, including typing/word processing, proofreading, filing, recording information, and processing and distribution of all correspondence, much of which is of a confidential nature.
Maintain a high degree of confidentiality regarding all aspects of the school site operation; establish, maintain and ensure proper use of confidential files, which may include student, personnel, and payroll records.
Maintain multiple calendars; organize appointments; receive visitors, including administrators, staff, parents and the public and provide information or direct to appropriate personnel.
Exercise diplomacy in answering questions and resolve situations involving students, parents, public, office staff and school personnel through knowledge of school policies and procedures; refer difficult situations to the Principal; provide information and assistance related to school programs, schedules, activities, policies and procedures.
Assure timely communications between the office and school employees; initiate phone calls to receive and transmit information; receive, screen and route telephone calls; take and relay messages as appropriate.
Research and compile a variety of information; process and evaluate a variety of forms and applications related to assigned functions; duplicate and distribute materials as needed.
Prepare and maintain a variety of data, records and reports related to student information, discipline, health and assigned activities; assure accuracy and completeness of data, records and reports; establish and maintain filing systems.
Input attendance, enrollment and other student data into an assigned computer system; maintain automated records; generate a variety of computerized reports; assure accuracy of input and output data; assure mandated reports are completed and submitted according to established timelines.
Compose, independently or from notes or rough draft, a variety of materials including inter-office communications, applications, requisitions, forms, letters, contracts, flyers, brochures, memoranda, bulletins, work orders and other materials; review and proofread a variety of documents.
Schedule and attend meetings, conferences and appointments as assigned, including maintain calendars and coordinate activities with other staff.
Operate and maintain a variety of office equipment including a calculator, copier, fax machine, typewriter, computer and assigned software; arrange for equipment repairs as needed; drive a vehicle to conduct work as directed.
Order, receive and maintain inventory of office and school supplies. Receive, open, sort, screen and distribute incoming mail; prepare and disseminate informational packets and bulk mailings to the public and staff regarding various events and programs.
Participate in student registration and enrollment activities; request student records from other schools as needed; provide transcripts to students, parents, staff, schools and others as requested; process student enrollments and disenrollments.
Order/tally lunches daily and provide month-end summary.
Assist in lottery by keeping accurate and timely records, scheduling and coordinating.
May administer minor first aid to students and arrange for follow-up care, parent notification.
Skills, Knowledge, and Abilities

The employee should exhibit the following: the ability to communicate effectively, both verbally and in writing, in a professional and courteous manner; strong organizational skills with attention for detail; the ability to work as a team player; the ability to work independently and efficiently, exercising reasonable judgment with minimal supervision. The ability to maintain regular attendance and punctuality. This position may require the ability to translate oral and written communications between English and a designated second language.
Physical Demands

Incorporated within one or more of the essential functions of this position are the following essential physical requirements:

Ability to see for the purposes of reading instructional materials, documents and other printed matter, for observing students and for the safe operation of equipment
Ability to hear and understand speech at normal levels in person and/or on the telephone
Ability to communicate so others will be able to clearly understand a normal conversation in person and/or on the telephone
Ability to operate computer, typewriter, calculator, copy machine, telephone and other office equipment with dexterity and in a safe and efficient manner
Ability to routinely lift/carry office supplies and printed materials weighing up to 25 pounds
Physical agility to sit, stand, kneel, walk, push/pull, squat, twist, turn, bend, stoop, and to reach overhead
Physical stamina sufficient to sustain light physical labor for up to 8 hours, sit and/or walk for prolonged periods of time
Physical mobility sufficient to move about the work environment (office, district, school site to site) for sustained periods of time on hard flooring, climb slopes, stairs, ramps, and to respond to emergency situations
Physical strength sufficient to periodically lift and/or carry 40 pounds of materials or supplies; occasionally lift 80 or more pounds with assistance
Occasionally push and/or pull a variety of tools, equipment, or objects weighing 80 or more pounds
Working Conditions

School working environment subject to bending, crouching or kneeling to assist students, pushing/pulling and lifting of instructional equipment and supplies, sitting on chairs and/or floor and leaning over desks for prolonged periods of time and reaching in all directions. Typically indoor work environment; may require some limited exposure to outdoor environment in order to supervise students. When working outdoors may be exposed to a wide range of temperatures; with exposure to extreme weather conditions, which include but are limited to; heat, cold, rain, wind, and high humidity.
